SIRIUS MINERALS: DOCUMENT CONTROLLER: FIXED TERM 12 MONTHS
The role
Sirius Minerals is seeking a Document Controller to work within the project development team of its US$2.9 billion multi-discipline engineering, procurement and construction Project. Reporting into the Senior Document Controller the role will be responsible for the management and control of project-related documents and data during the project lifecycle stages.
The role is responsible for the control, access and maintenance of facilities/assets, revision control and engineering documents/drawings in addition to the management of activities associated with project deliverables documentation.
Key responsibilities
- Support the Area Managers, external contractors, procurement and construction management team by ensuring that all documentation on projects is properly distributed, catalogued and filed for easy retrieval
- Ensure that all documents are registered and controlled in Omega PIMS Document Control Systems (DCS)
- Facilitate a smooth flow of documents and data to project team members, as per the project distribution matrix
- Ensure document management objectives are clearly understood and followed in accordance with the job function
- Quality check all returned or closing out documents prior to upload into Omega PIMS DCS
- Review incoming engineering drawing packages to ensure all required documents and drawings are received (xrefs, tiffs, CAD, PDF transmittals and photographs)
- Ensure external engineering contractors follow the standard procedures work instructions and specifications
- Maintain and manage project files from project start to close out
- Catalogue, store and retrieve all incoming and outgoing information through the DCS
- Work closely with document management and control in other areas to ensure procedures, standards and work instructions are followed, maintained and modified as required
Skills, experience and attributes
- Diploma/certificate in records management or equivalent of education and experience
- Relevant experience working on large mining industry project or in the construction industry
- Extensive experience in a document control management and document management systems environment
- Working knowledge of Microsoft Excel, Word, Access, Acrobat Adobe and databases
- PIMS Document Control System experience desirable
- Knowledgeable understanding of construction industry drafting disciplines, terminology and industry accepted file types (.dwg,.dgn,.tif,.rcs and many others)
- Exposure to engineering project environments
- Ability to meet deadlines based on overall understanding of business impacts
- Excellent organisational and interpersonal skills
- Demonstrable ability to work in a multi-functional team, managing work from engineering contractors and internal/external drafting groups
- Strong decision making, change management, teamwork and stakeholder orientation skills
- Cross-cultural awareness, with experience and comfort with working in different cultures
- Ability to independently address assignments with minimal supervision
